I. Key responsibilities

Listing management: Prepare, update, and syndicate property listings across Multiple Listing Services (MLS) and online platforms like Zillow, Trulia, and Realtor.com.
Transaction coordination: Assist with the transaction process, including managing paperwork, tracking deadlines, and coordinating with lenders, inspectors, and title companies.
Customer relationship management (CRM): Organize, manage, and update the client database. Log all client communications and follow-ups within the CRM system.
Calendar management: Schedule property showings, inspections, open houses, and client meetings.
Client communication: Act as the first point of contact by responding to emails and phone inquiries in a timely and professional manner.
Marketing support: Create and execute marketing tasks such as managing social media accounts, designing flyers and email newsletters, and updating the company website.
Market research: Conduct competitive market analysis (CMA) and research local market trends and property values to assist agents.
Administrative tasks: Handle general clerical duties like data entry, document management, bookkeeping, and preparing reports.

II. Skills and qualifications

Industry experience: Proven experience supporting real estate agents, brokers, or property managers is often preferred.
Communication: Strong written and verbal communication skills for effective interaction with clients and partners.
Organization and time management: Excellent organizational skills to manage multiple listings and deadlines simultaneously.
Attention to detail: A high degree of accuracy for handling sensitive legal documents, contracts, and data entry.
Proactivity and reliability: The ability to work independently in a remote environment, take initiative, and be consistently reliable.

III. Technical proficiency

CRM software: Expertise with real estate CRM platforms such as Follow Up Boss, kvCORE, Salesforce, or HubSpot.
Real estate systems: Familiarity with MLS systems and transaction management software like DocuSign, dotloop, or SkySlope.
Marketing tools: Proficiency with marketing platforms like Canva for graphic design, Mailchimp for email campaigns, and various social media platforms.
Communication and project management: Experience with communication apps (Slack) and project management software (Asana or Trello).
Standard office suites: Competency with Microsoft Office Suite (Word, Excel) or Google Workspace (Docs, Sheets).
