Role Overview

We're looking for a proactive, detail-oriented administrative professional with experience in real estate transactions. This role is essential to ensuring smooth communication between our agents, title companies, and internal team. You’ll serve as the operational backbone of our transactions, owning the paperwork, follow-up, and coordination needed to close deals efficiently.

Key Responsibilities

Contract & Compliance Management
- Review real estate contracts for required addenda
- Request and coordinate contract modifications with agents
- Send contracts for internal review and upload to Signwell for signatures
- Distribute ratified contracts to title companies
Transaction Coordination
- Send introduction email to title company and agent to open escrow
- Follow up with title companies and lenders consistently to ensure progress
- Track deadlines, contingencies, and closing milestones
- Ensure all documents are accurate, timely, and securely stored
Administrative Support
- Maintain clear internal communication with our team via Slack
- Flag potential delays or issues with contracts or closing timelines
- Handle general admin tasks to support deal flow from contract to close

Qualifications

Prior experience as a Transaction Coordinator or Executive Assistant in real estate is a plus
Familiarity with real estate contracts, title processes, and assignment documentation
Fluent spoken and written English
Highly organized, reliable, and detail-oriented
Excellent written and verbal communication skills
Able to work independently and follow up consistently without needing reminders
Must be available during EST business hours and flexible to work into the evening when deals are active. (We provide base pay plus commission incentives to reward evening flexibility and fast closings)
